2023 High School Lottery Registration

08/03/2022 - 08/05/2023

Description

Thank you for your interest in a 2023 High School Service Retreat at Nazareth Farm! We are excited to host you and your students this upcoming year.

Please read through the information on this page and the following page completely. We ask that each school, parish, or group provides their top 3 choices for group weeks so we can best fit everyone. The priority deadline for registration for summer Group Weeks is October 15. We will assign summer Service Retreat Weeks by the end of October. Anyone who registers after October 15 will be added to weeks as they become available.  The priority deadline for registration for spring Group Weeks is September 25. We will assign spring Service Retreat Weeks by October 2. Please only sign up for 1 group week initially for either 1 group of 6, 7, or 8 volunteers unless otherwise discussed with the volunteer coordinator. Registration forms are not accepted until payment is received. If payment online is not an option please contact the Volunteer Coordinator to discuss further options. Online registration does not save unless you pay online.

Please note: Total cost for the week is $375.00 per volunteer (non-resident) or $325.00 per volunteer (WV resident). This fee includes food and lodging. The $50.00 deposit, which you are paying through the Lottery Registration will be counted toward the total participation fee, and the remaining money per volunteer is due 60 days prior to your assigned group week. Deposits are nonrefundable.

HIGH SCHOOL REGISTRATION POLICY

In response to an overwhelming amount of interest in bringing a group to Nazareth Farm and in an effort to provide equal opportunity to each group who would like to come to Nazareth Farm, the following Registration Policy has been set by our Board of Directors. Please review it carefully as you complete the registration application for your group.

The registration packet for the volunteer season will be available on-line at www.nazarethfarm.org. A reminder about registration will be sent to all interested schools and parishes.

For schools that are interested in volunteering, the priority deadline will remain October 15 for summer Service Retreats and September 20 for spring Service Retreats. All applications submitted on or before the registration deadline will be treated as having been received on the registration deadline. Every attempt will be made to accommodate the desired weeks for those applications submitted by the registration deadline. When more applications have been received than there are slots available, slots will be assigned by means of a lottery system. Any group not selected by the lottery system will be put on a waiting list and will be contacted if any spots open up. Any applications submitted after the registration deadline will be put on the 'late' waiting list and will be offered slots, if any are available, in priority of submission dates as previously described.

For group weeks, payment in full for the number of spots reserved must be payed by April 1 for summer Service Retreats. If payment is not received by that date, Nazareth Farm will notify you and will fill the spot with another group. If no new volunteer group is found to fill those volunteer spots, the original group will be responsible for full payment by April 1. If an entire group must cancel after the April 1 deadline, your payment will NOT be refunded. Payment will only be refunded prior to the April 1 deadline. If groups show up with fewer volunteers than reserved and paid for, the amount will NOT be refunded unless the group called ahead and Nazareth Farm was able to replace the spots. If Nazareth Farm can fill the spot, you will be refunded for every person we replace. The deposit of $50 per person is non-refundable unless your group is not selected in the lottery system. The April 1 deadline is the last date to make any changes in numbers or cancellations without penalty. For spring Service Retreats, the payment deadline is 90 days before the service retreat date.

Groups who submit a completed application by the designated date, yet due to capacity constraints do not receive a group week will be given priority the next year if a completed application is received by the annual designated date. Groups associated with staff and board members do not receive preferential treatment in the selection process.

If you have any questions regarding these policies, please contact

Karli, the volunteer coordinator at vcoordinator@nazarethfarm.org or call at 304-782-2742.

COVID Protocol

1)      Vaccination

●       All volunteers are not required to be fully vaccinated against COVID-19 per CDC guidelines. However, we highly recommended vaccines for volunteers.

2)      Testing

●       Volunteers are required to take an at-home COVID-19 test the day of their departure from home before coming to Nazareth Farm and show a negative test result. You should have the results of this test before you meet with your group to leave.

 i.      If you meet as a group to take your test, one positive person would mean the entire group would not be able to attend Nazareth Farm. If each individual tests at home, you have then protected the rest of your group from exposure.

ii.      If you are leaving your home on Saturday, please take the test before you start your journey.

●      The only exception to this policy is volunteers who have tested positive for Covid-19 in the past 3 months, recovered, and show no new symptoms of Covid-19. More information about accessing testing can be found on the CDC website.

●      While not a requirement, it is recommended that groups bring rapid at-home tests in case they are needed during the week or during travel. It is requested that each person brings a KN 95 or N 95 mask during their service week

3)      Symptomatic Individuals or Exposure

●      People with a new cough, sore throat, loss of taste or smell, or fever during the week prior to their planned Nazareth Farm trip must not participate unless they have a physician’s note with an alternate diagnosis and a negative PCR test for Covid-19.

●      If you have been exposed to someone with Covid-19, you are expected to follow the current CDC Quarantine Guidelines. Depending on the date of exposure, you may need to stay home from your trip to Nazareth Farm, even if you test negative the day of arrival.

●      If a volunteer, sojourner, or staff member becomes symptomatic during their time at the Farm, they will be given a test at Nazareth Farm or taken for testing at a local urgent care. They can be isolated from the rest of the group in our staff house while we await results. Depending on the situation, a volunteer and their group may be sent home. This decision will be at the discretion of the Nazareth Farm staff, and volunteers are expected to respect the decision we make.

Thank you for your commitment to protect others, especially our vulnerable community members and other volunteers. For further clarification or concerns, please contact nazarethfarm@gmail.com or 304-782-2742.
